These policies describe how we manage storage, retention, acceptable use, privacy, cookies, and service protections to maintain reliability and compliance.
Storage & Retention Policy
We may apply retention limits to exported files and other temporary artifacts to manage storage. Retention periods may vary by plan. Users are responsible for downloading and backing up exports they wish to keep. Uploaded content is stored securely on AWS S3.
After the retention period, exports are automatically deleted. You can delete any content at any time. Re-exporting is always available while your project data remains.
Fair Use
All plans are subject to fair use. Automated bulk uploads, excessive API usage, or activities that degrade service quality for other users may result in rate limiting or account review.
Acceptable Use
You must not upload or generate content that violates applicable laws, infringes intellectual property rights, or is abusive, harmful, or malicious. We may restrict or remove content or suspend accounts to enforce these policies.
You may not use VideaMind to host or distribute:
- Content that infringes on intellectual property rights
- Illegal, harmful, or abusive material
- Malware or phishing content
- Content that violates applicable laws
DMCA / Copyright Policy
We respect intellectual property rights. If you believe content on VideaMind infringes your copyright, please submit a DMCA takedown notice to support@videamind.com with:
- Description of the copyrighted work
- URL of the infringing content
- Your contact information
- A statement of good faith belief
- Your physical or electronic signature
Security & Abuse Prevention
To protect the service and users, we may impose technical limits, rate limits, file-type restrictions, and automated checks.
Privacy
We collect only the data necessary to provide the Service. Your content is private by default. We do not sell your personal data.
Data we collect.
- Account data: email, name, authentication tokens.
- Content: files you upload, projects, fragments, exports. Stored on AWS S3 in the EU (Ireland) region.
- Usage data: logs of actions performed in the Service (uploads, exports) for security and quota enforcement.
- Billing data: not stored by us directly — payment processing is handled by Paddle (see below).
Data we do NOT collect.
- We do not process or store the content of your AI requests on our servers. Transcription, translation, and text-to-speech run either locally on your device or through an OpenAI API key you configure yourself.
- We do not sell, rent, or share your personal data with advertisers.
Your rights. You may request export or deletion of your personal data at any time by contacting support@videamind.com. Under GDPR / UK GDPR you have the right to access, rectification, erasure, restriction, portability, and objection.
Cookies
We use cookies and similar technologies for:
- Essential: authentication session, CSRF protection, load balancing.
- Functional: remembering your preferences (editor settings, language).
- Analytics: aggregated usage metrics to improve the product. We do not use third-party advertising or cross-site tracking cookies.
You can disable non-essential cookies in your browser. Disabling essential cookies may break the sign-in flow.
Third-Party Processors
We use the following sub-processors to deliver the Service:
- Paddle.com Market Limited — payment processing and merchant of record for all paid subscriptions. See Paddle's Privacy Policy.
- Amazon Web Services (AWS) — storage (S3), compute (EC2), and CDN. EU (Ireland) region.
- OpenAI — only if you explicitly configure your own OpenAI API key in the desktop app. In that case, content is sent directly from your device to OpenAI under your account. VideaMind does not intermediate this traffic.
