Terms of Service

1. Acceptance of Terms
By accessing or using VideaMind ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
2. Account Registration
You must provide accurate information when creating an account. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account.
3. Subscription Plans
VideaMind offers Free, Plus, Pro, and Team plans. Each plan has specific resource limits described in the Plan Limits section below and on our Pricing page. We reserve the right to modify plan features and limits with 30 days' notice.
4. Billing & Payments
Payments for paid plans are processed by our authorized payment provider, acting as the merchant of record for our Service.
- Currency and tax. Prices displayed on the Pricing page are in the stated currency and exclusive of applicable taxes unless otherwise noted. Applicable sales tax, VAT, GST, and similar taxes are calculated and remitted based on your billing location.
- Billing cycle. Paid subscriptions are billed in advance on a recurring basis (monthly or annually, as selected at checkout). Your subscription renews automatically at the end of each billing period unless cancelled.
- Cancellation. You may cancel your subscription at any time from your account settings or via the self-service link in your receipt email. Cancellation takes effect at the end of the current billing period; you retain access to paid features until that date.
- Plan changes. Upgrades take effect immediately with a pro-rated charge for the remainder of the current billing period. Downgrades take effect at the start of the next billing period.
- Payment failures. If a payment fails, our payment provider will retry according to its standard dunning schedule. If retries are unsuccessful, your account may be downgraded to the Free plan.
5. Refund Policy
We offer a 14-day money-back guarantee on your first paid subscription with VideaMind. If you are not satisfied within 14 days of your first paid charge, contact support@videamind.com from the email associated with your account and we will issue a full refund.
Outside of this guarantee, subscription fees are non-refundable except where required by applicable law. When a refund is issued, it is processed to the original payment method, typically within 5–10 business days. Pro-rated refunds are not provided on cancellation — you continue to have access until the end of the paid period.
6. Content Ownership
You retain ownership of all content you upload to VideaMind. By uploading content, you grant us a limited license to store, process, and serve your content as needed to provide the Service.
7. AI Processing Disclosure
VideaMind Studio runs AI features (transcription, translation, text-to-speech) either on your own device via bundled local models or through your own OpenAI API key that you configure in the app. We do not process, store, or proxy your content or API keys through our servers for AI operations. AI Slide Deck generation is the exception — it uses our server-side pipeline and is billed as credits per plan.
8. Acceptable Use
You agree not to use the Service to upload, store, or distribute content that is illegal, infringing, harmful, or violates the rights of others. See our Policies page for details.
9. Plan Limits & Fair Use
Plan limits are defined by the subscription plan associated with your account and may include storage capacity, upload size, project counts, fragment counts, export allowances, and retention periods. Limits are enforced automatically. If you reach a limit, certain features may become unavailable until usage is reduced or the plan is upgraded. We may apply fair-use protections and reasonable technical measures to prevent abuse, ensure service reliability, and maintain quality of service for all users.
10. Storage, Deletion & Data Availability
You control your content and may delete projects, fragments, uploads, or exports at any time. Deleting content may permanently remove associated stored assets. Some data (such as exports) may be automatically deleted after the applicable retention period. We do not guarantee recovery of deleted or expired data.
11. Measurement & Enforcement
Usage is calculated based on the sizes and counts recorded by our systems and storage provider. Displayed usage information may be delayed due to caching or processing; enforcement is based on our recorded usage at the time of the action (upload, creation, export). We may adjust measurement methods to improve accuracy and reliability.
12. Service Availability
We strive for high availability but do not guarantee uninterrupted access. Maintenance windows will be announced in advance when possible.
13. Termination
We may suspend or terminate your account for violations of these Terms. You may delete your account at any time. Upon termination, any active subscription is cancelled and your data will be deleted within 30 days.
14. Limitation of Liability
VideaMind is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service.
15. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via email or in-app notification.
